The Wellbeing Room is operated by The Wellbeing Room Collective Ltd. Our website is www.thewellbeingroom.co.uk. By using our website or purchasing any of our services, you agree to these Terms & Conditions. Please read them carefully before booking.

2. Our Services
We offer two types of wellbeing services:
Individual Sessions (For Individuals)
Weekly online wellbeing workshops delivered via Zoom, open to freelancers, sole traders, remote employees, home workers, and anyone who would benefit from connection and community. Sessions are available on a pay-as-you-go or monthly subscription basis.
Business Sessions (For Teams)
Facilitated virtual wellbeing sessions for employer teams, available on a weekly, fortnightly, or monthly basis. These are governed by a separate agreement between The Wellbeing Room and the employer.
3. Bookings & Payment
All bookings are made through our website or via a Stripe payment link provided by us. By completing a booking and payment, you enter into a contract with The Wellbeing Room.
Where a monthly subscription is offered, your subscription will begin on the date your first payment is processed and will renew automatically each calendar month. You will be charged the subscription fee on the same date each month until you cancel.
All prices are listed in pounds sterling (GBP) and are inclusive of any applicable taxes unless otherwise stated.
4. How Sessions Are Delivered
All individual sessions are delivered online via Zoom. Once your booking and payment have been confirmed, a Zoom link for your session will be sent to the email address you provided at the time of booking.
Please ensure you check your inbox (and spam/junk folder) for your Zoom link before the session. If you have not received your link within 24 hours of booking, please contact us at hello@thewellbeingroom.co.uk.
It is your responsibility to ensure you have a working internet connection and the Zoom application installed in order to access sessions.
5. Cancellations & Amendments
Monthly Subscriptions — Cancellations
To cancel your monthly subscription, please email us at hello@thewellbeingroom.co.uk. We require a minimum of 7 days' notice before your next renewal date in order to stop the next payment being taken.
Cancellation requests cannot be accepted via social media, contact forms, or any other channel — email only, please.
Once confirmed, your subscription will not renew and you will not be charged again. You will retain access to sessions until the end of the period you have already paid for.
Monthly Subscriptions — Amendments
To make any changes to your subscription (such as updating your email address or payment details), please email us at hello@thewellbeingroom.co.uk and we will assist you.
6. Refunds
We do not offer refunds for sessions already attended. If a session is cancelled or rescheduled by us, you will be offered an alternative session date or a full refund.
If you experience technical difficulties on our side that prevent you from attending a session you have paid for, please contact us and we will work with you to resolve this fairly.
Your statutory rights under UK consumer law are not affected by these terms.
7. Session Conduct
Our sessions are designed to be a safe, supportive, and welcoming space. We ask all participants to:
Treat facilitators and other participants with respect
Keep the content of sessions confidential — what's shared in the room, stays in the room
Not record sessions without the prior written consent of The Wellbeing Room
Not share your Zoom link with anyone who has not booked onto the session
The Wellbeing Room reserves the right to remove any participant from a session if their behaviour is deemed disruptive or inappropriate, without refund.
8. Wellbeing, Not Therapy
Our sessions are wellbeing and community-focused and are not a substitute for professional mental health support, therapy, or medical advice. If you are experiencing a mental health crisis or require clinical support, we encourage you to contact your GP or a qualified mental health professional.
9. Intellectual Property
All content, materials, and resources shared during sessions or on our website are the intellectual property of The Wellbeing Room and may not be reproduced, shared, or distributed without our prior written consent.
10. Privacy & Data
Your personal data is collected and used in accordance with our Privacy Policy, available on our website. By booking a session, you consent to us using your email address to send you session-related communications, including Zoom links and booking confirmations.
We will not share your personal data with third parties without your consent, except where required by law or as necessary to process your payment (e.g. via Stripe).
11. Limitation of Liability
To the fullest extent permitted by law, The Wellbeing Room shall not be liable for any indirect, incidental, or consequential losses arising from your use of our services. Our total liability to you shall not exceed the amount you have paid for the session(s) in question.
We are not responsible for any technical issues arising from third-party platforms such as Zoom or Stripe.
12. Launch Offer for Freelancers or Sole Traders — Terms
The introductory price of £49 per month for Individual Sessions (the "Launch Offer") is available to new subscribers who sign up before 1 September 2026.
From 1 September 2026, or when the Launch Offer period ends (whichever comes first), the standard monthly subscription price of £59 per month will apply. Existing subscribers on the Launch Offer price will be given reasonable notice before any price change takes effect.
The Launch Offer is available to new subscribers only and cannot be combined with any other offer or discount. The Wellbeing Room reserves the right to withdraw or modify the Launch Offer at any time, subject to giving notice to existing subscribers.
13. Changes to These Terms
We may update these Terms & Conditions from time to time. The current version will always be available on our website. Continued use of our services following any update constitutes your acceptance of the revised terms.
14. Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
